How to Prepare for a Family Photoshoot (From Booking to Shoot Day)

We recently did a family photoshoot and for me it was such a great experience to be on the other side of the lens. I got to experience what my families feel and need before their shoot. The exact questions that run through their minds were now running through mine.

Questions like:

  • What locations are available in the Northern Rivers?
  • Should we do our family shoot here in Pottsville at Hastings Point (our happy place)? Or the beautiful Cabarita Headland?
  • What time of day is best for our family photoshoot?

Even as a family photographer, I struggled to answer these questions for myself. For me the possibilities are endless.

Once we had a location in mind, I then struggled with what to wear for our family shoot (I wrote a helpful blog post here about it). I counsel families on what to wear for their shoots all the time, but it felt so different being on the other side.

So here it is The ultimate guide to preparing for a family photoshoot.

How to Prepare and Plan for a Family Shoot

First things first: decide on your “why.” Your why will determine what photographer works best for you. Do you want a photographer who captures natural family photos and candid moments, or more posed and formal images?

Some photographers offer seasonal mini sessions. I’ve never offered these because (to me) 20 minutes is too short to capture photos that go beyond everyone smiling at the camera. While mini sessions are beautiful for what they are, I personally value the intentional experience of a full session—photos that tell the deeper story of your family. So I may not be the best fit for you. some people only want a “few” photos while others value experience and storytelling, if this is you – then I am a fit for you.

It’s about choosing what matters most to you: a quick set of images, or a relaxed experience that becomes part of your family’s memories.

Decide on Your Budget: How Much Do Family Photos Cost?

This is tricky. Value means different things to different people.

You may want to spend a smaller amount for a few pictures where everyone is looking and smiling at the camera. Or you may prefer a fuller experience with pre-planning guidance, wardrobe support, and a gallery that feels intentional and timeless.

There’s no right answer here only what feels right for your family. My Family photoshoot packages are designed around what I feel is the most value ; time , ease and printed products . How to Get the Best Value Out of Your Family Photoshoot

Are Family Photos Worth It?

This varies from family to family and person to person. I’m not sure I can put a price on the emotional value of having photos of your loved ones. If your house was on fire – what’s the first thing ( besides your kids) you would grab? When you lose a loved one , photos can bring such comfort when its all you have left. A better question might be to ask what do you see as value when paying for professional photos? These are different for everybody.

What to ask a professional photographer before booking?

Here are some things to consider and ask your photographer:

  • How many images will you receive (and does that matter to you)?
  • How long will the shoot last?
  • Do you want to choose your location and time (versus mini sessions with fixed slots)?
  • Do you want the ease of receiving a full gallery vs. picking a handful from a larger set?
  • Do you want relaxed family photos or posed images?

Your answers will help you see what you value most and select a photographer that most aligns with this.

I would also ask myself what do I want out of this ? Your answers may vary from just wanting prints for your home ( I offer a print credit in all my packages , see here ) or are you really wanting to preserve something special right now. Perhaps , there is a big family reunion and you want to be in the photos to. Maybe you want something beyond a seasonal photo ( that doesn’t have Santa Claus in them). There is no right or wrong answer beyond what you want out of your photos.

What to Wear for Your Family Photoshoot

This is one of the biggest questions families ask. Wardrobe can completely change how your photos feel. I’ve written a full guide on what to wear ( click here) , but in short: keep it comfortable, true to your style, and timeless.

Best Time of Day for Family Photos

The time of day makes all the difference. The “golden hours” of sunrise or sunset create soft, dreamy light and a relaxed atmosphere.

  • Sunrise works beautifully for families with early risers (and often emptier beaches).
  • Sunset brings warmth and connection, perfect for kids who thrive later in the day or busy work and school schedules . It is tricky for families with younger kids, so planning is advisable.
  • Midday shoots at home are also wonderful—especially for in-home lifestyle sessions. The midday ( or late morning and early afternoon) adds a totally different feel to family photos. I often photograph my own kids at these time and I adore the harsh ( almost editorial feel ) it depends if you like this look

Choosing the right time sets the tone for your shoot and works for your family. The location also plays a role as sunrise is beautiful for Gold Coast and Northern Rivers Beach Family photos . Sunset is beautiful for fields, farms and hinterland family photoshoots. These give your typical – sought after golden glow. Creek shoots should be close to golden hour hour and are beautiful too.

How to Prepare Your Family for the Photoshoot

Okay, you’re booked in. What now?

I send my clients a full guide on what to wear, what to expect, and what to bring. Here are some universal tips:

  • Go through the guide at least 10 days before your shoot.
  • Plan wardrobe early (especially with extended families).
  • Get kids involved in the planning—it helps them feel excited.

How to Prepare Kids for Family Photos

Different ages need different levels of preparation. Some quick tips:

  • Let kids help pick an outfit or a favorite toy.
  • Pack special snacks (and yes, bribes if needed!).
  • Plan around nap times to avoid meltdowns.
  • Build in a treat afterwards (ice cream, hot chocolate, a beach play )

Bonus Tips for a Stress-Free Family Photoshoot

  • Pack an extra outfit just in case.
  • Make it a “memory day” for your kids. Pair the photoshoot with a fun activity so they remember the joy, not just the camera. This can be done during your shoot OR after your shoot.
  • Don’t stress about perfection. The best photos come from the in-between moments when you dont even realize the camera is snapping.

Family Photoshoot FAQs

What should we wear for family photos?

Choose outfits that feel like you. You definately don’t need anything new either

Neutral tones, soft textures, and comfortable clothing photograph beautifully. Avoid heavy logos or neon colours. If in doubt, keep it simple and timeless think pieces you’d still love in 10 years.

I wrote a blog post here – that goes through a few tips that aren’t often discussed when thinking of what to wear to your family photoshoot. I have also created and gathered some pins to help with this – My Pinterest board is here- it has outfit ideas and colour palettes

What is the best time of year for family photos?

On the Gold Coast and Northern Rivers, family photos work year-round. With winter being my personal favourite time of year for photos . Many families love beach sessions in summer for the golden light, long summer days and general upbeat feels of summer . While autumn and spring give softer, more comfortable weather. Winter mornings can be magic too crisp light and quieter beaches.

What time of day is best for family photos?

Sunrise and sunset are the most flattering times with warm, soft light and relaxed vibes. Sunrise is great for families with early risers, while sunset is perfect for those who prefer evenings together. We can always plan around naptimes for younger families. I often recommend in home photoshoots , if you have a garden even better, for toddlers and babies. The added benefit being that they ( and you!) are often more comfortable in your own surroundings too. And these can happen any time of day, we find pockets of light in your home.

How much do family photos cost?

Prices vary depending on the photographer and the experience. Mini sessions are often more affordable but shorter, while full family sessions are an investment in both memories and art. Decide what matters most to you: quick images or a full, intentional experience. My pricing guide and FAQs can be found here https://rebeccarottcherphotography.com/family-maternity-photography-packages-gold-coast

Are family photos worth it?

Absolutely. The photos are only part of it . The experience itself becomes a memory your kids will carry. Families often tell me that the time together, not just the final gallery, is what they treasure most. And this really makes my heart sing. This is after all what its all about.
